Then the next caller cannot get the same therapist or room, and reception can see who is free next.

Regular customers often ask for the same therapist. Check that therapist's free slots first, then offer the nearest time or another therapist with similar skills.

Keep each customer's pressure and oil preferences on their record. Then any therapist can follow them when the favourite is fully booked.

What should a massage booking system track besides the calendar?

A clash-free calendar is the start. Also track these:

• Packages and memberships. Sessions left and prepaid balances should update on every visit, so the count is never in doubt.
• Treatment maps with e-signature. The therapist marks focus areas on a body map, with notes for next time. Health declarations and consent forms can be signed on the tablet.
• WhatsApp reminders. Confirm each booking, then remind customers before the visit. Those who need to change can tell you early, so you can fill the slot.
• Deposits. A deposit at booking helps cut no-shows, which hurt most for long treatments and couple suites. Keep each deposit separate until the treatment is done.
• Therapist commission and payroll. Pay often mixes basic salary, commission and allowances. If every treatment and sale is recorded against a therapist, month-end pay becomes a check, not a count.
